This Privacy Policy explains how CertaVent ("we", "us") handles personal data when you use our website, Progressive Web App (PWA), and related services for UK duct cleaning contractors — including TR19 Grease and TR19 Air certificate and post-cleaning report workflows.

What we collect

Early-access / interest form — if you submit our Google Form on the Site, we receive the details you choose to share (for example name, email, company). We use this to gauge demand and contact you about CertaVent early access. The form is hosted by Google; responses are stored in Google Forms / Sheets under our control.
Account and organisation data — names, emails, roles (owner, office, technician), and company details needed to run a multi-tenant workspace (when the platform launches).
Job and site data — customer and site information, visit records, measurements, photos, voice notes, and generated certificates / post-cleaning reports (when the platform launches).
Technical data — device and browser information, PWA install state, offline sync metadata stored on the device, and security logs needed to protect the service.
Optional analytics / marketing data — only if you enable those categories in cookie preferences (see our Cookie Policy).

Why we process data

Early-access responses: our legitimate interest in understanding demand and contacting interested contractors, or your consent where you submit the form.
To provide the contracted SaaS service (performance of a contract).
To keep the platform secure and prevent fraud (legitimate interests).
To meet legal obligations where applicable (for example accounting or regulatory requests).
With consent, for non-essential analytics or marketing measurement.

Sharing

We use processors such as hosting, database, and media providers to operate the product. The early-access form is provided by Google LLC (Google Forms); see Google's Privacy Policy. Where a contractor connects a CRM webhook, report delivery data is sent to that contractor's chosen endpoint under their instructions. We do not sell personal data.

International transfers

If a processor stores data outside the UK, we use appropriate safeguards (for example UK IDTA / SCCs) where required.

Retention

We keep organisation and job records for as long as the account needs them and as required for legal or security purposes. Client report links are designed to remain available for 12 months after generation, unless a longer retention is agreed with the organisation.

Your rights

Under UK GDPR you may have rights to access, rectify, erase, restrict, or object to certain processing, and to data portability. To exercise these rights, email research@certavent.com. You may also complain to the ICO (ico.org.uk).

Changes

We may update this policy as the product grows (for example when analytics or marketplace features launch). The "Last updated" date at the top will change when we do.
